Hours: 1.0FTE (8:30-4:30, Monday to Friday)  
Salary: 63,200.71 (Union position)
Location: Victoria, BC (Hybrid)

The Grants and Engagement Coordinator is a key position within BCHC. Your primary role is to coordinate, oversee, and facilitate BCHC’s provincial level grant programs that support capacity building for healthier communities. This portfolio largely includes the implementation, management, and administration of our legacy PlanH grant program in addition to supporting some delivery, evaluation, and knowledge exchange activities.  
With a focus on equity, the goal of all BCHC’s grant offerings is to support capacity building for improved community health and well-being outcomes. Recipients of our grant programs include Indigenous and non-Indigenous governments (in partnership with health authorities and community organizations) for PlanH and Age Friendly grant programs.  
In this position, you have strong interpersonal skills, an understanding of and alignment with asset-based community development and a passion for creating healthier communities for all.

Position Links 
  • Report to the Executive Director, who provides strategic oversight  
  • Work closely with, and receive communications guidance from, the Communications Manager 
  • Work closely with the Evaluation Specialist, who provides overall evaluation expertise 
  • Work collaboratively as part of the BCHC staff delivery team  
  • Work closely with BCHC administrative staff to ensure tracking of grant payments/timelines, etc. 
  • Work to support external partner organizations, multi-sectoral groups which may include Indigenous and non-Indigenous local governments, regional health authorities, school districts, not-for profit and community organizations as part of the administration and delivery of our services and supports

Key Responsibilities & Duties 
Grant Management and Administration (50%) 
  • Lead the development of grant application packages, info sheets, tracking and monitoring systems, final report templates, and reporting mechanisms; 
  • Coordinate planning and timelines for the application and adjudication process for dissemination of grant funding; 
  • Provide day-to-day administration and monitoring of grants (monitor multiple email accounts, develop communications to grant recipients, draft MOU’s, field cheque requests; coordinate related invoices, contracts, financial administration, etc.); 
  • Provide direct support to grant applicants and recipients: fielding calls, supporting application development, outreach and communication, promotion, etc.; 
  • Track inquiries and document ongoing learning and reflections around grant process from a quality improvement perspective; 
  • Provide ongoing communication and support for communities in their learning objectives as part of the suite of supports offered with the grant; troubleshoot any difficulties that may arise; 
  • Ensure reporting and accountability requirements of grants are met by grantees and trouble-shoot any difficulties or issues that arise; 
  • Support knowledge translation efforts to guide and inform provincial learning; 
  • Provide information/knowledge of grants and community needs toward development of recommendations for subsequent grant programs; 
  • Build understanding and knowledge around grant making best practices; 
  • Maintain an online list of current grant opportunities; and  
  • Prepare summaries and briefing materials for reports, program updates, funders, working group meetings, evaluation reports, etc. 
 
Community Engagement (30%) 
Work closely and collaboratively with the BCHC team to: 
  • Support promotion, outreach, and engagement of grant programs and other offerings; 
  • Communicate with grantees though regular check ins, including providing guidance, resource sharing, problem solving support, and enhancing capacity; 
  • Support BCHC staff in developing and delivering community supports (webinars, training, workshops, etc.); 
  • Support partnership development opportunities with Indigenous and non-Indigenous governments, health authorities, community organizations, and a range of stakeholders;  
  • Help to connect communities, Indigenous and non-Indigenous government, and health authority needs with BCHC opportunities (i.e. through the grant program offerings); 
  • Deliver update reports and presentations at events/conferences, etc. to promote BCHC’s grant program offerings; 
  • Support knowledge exchange through providing insight at provincial level based on interactions with communities, local governments and health authorities; and 
  • Support and contribute to knowledge exchange through participating on committees such as funder’s networks, etc. 
 
Research and Evaluation (20%) 
Work closely with the research and evaluation team to: 
  • Conduct background research and work with others to develop supportive tools and resources that complement our grant program (info on key community issue areas i.e. food security, physical activity, social connectedness, health and climate change, and topics such as equity, etc.); 
  • Document, review, and assess BCHC grant program learnings and opportunities for continual improvement (i.e. supports offered to communities if/where applicable and to inform development of grant streams); 
  • Utilize tools, checklists, apps, etc. to collect and track qualitative and quantitative data from grant programs and support data analysis in line with evaluation framework; 
  • Share information and experiences from grant communities to help to bridge across programs (themes, patterns, opportunities, challenges); and  
  • Support knowledge translation efforts (internally within and across BCHC programs and externally with and across the variety of grant recipients. 
 
Participates as a Member of a Team  
  • Attend, participate and contribute in team meetings, strategic meetings and planning sessions; 
  • Collaborate with staff and colleagues to achieve a coordinated approach; 
  • Remain current with best practices, trends, and opportunities to increase efficiencies;

Required Knowledge, Skills, Abilities, & Qualifications 
  • Bachelor's degree in a related field (community development, healthy communities, social sciences, social justice, public health, public policy, public administration, planning, etc.) or equivalent experience; 
  • Minimum one year’s experience in project and/or grant management; 
  • Sound working knowledge and experience of principles of health equity, physical activity/active communities, health and built environment, mental health and wellness, and social determinants of health; 
  • Strong Microsoft office knowledge especially in Excel
  • Experience in communications/public relations, community outreach experience (or related); 
  • Experience in delivering training, workshops, learning opportunities; 
  • Effective partnership development skills (internal and external stakeholders); 
  • Strong planning and organizational skills; detail-oriented; 
  • Strong interpersonal and written communication skills; 
  • Critical and conceptual thinking and analytical skills; 
  • Ability to work independently and part of a highly collaborative team; 
  • Ability to be discrete, maintain confidentiality, and use sound judgement; 
  • Experience in or knowledge of non-profit, community development, local government, health authority, or related an asset; 
  • Research and evaluation experience an asset
